1. Acceptance of Terms

These Terms of Service ("Terms") govern your access to and use of the websites, services, systems, automation solutions, AI solutions, implementation services, and related offerings provided by DoorScale LLC ("DoorScale," "we," "our," or "us").

By accessing our websites, purchasing services, scheduling consultations, completing onboarding forms, or otherwise engaging with DoorScale, you agree to be bound by these Terms.

If you do not agree to these Terms, do not use our services.


2. Services

DoorScale provides implementation, configuration, management, and consulting services designed to help Realtors and property managers improve lead intake, follow-up, communication, appointment scheduling, review generation, and operational organization.

Services may include, but are not limited to:

Realtor Solutions

  • Appointment Confirmation Systems

  • Past Lead Reactivation Systems

  • Review Request Systems

  • Lead Qualification Assistants

  • Open House Follow-Up Systems

  • Transaction Management Systems

Property Management Solutions

  • Owner Lead Conversion Systems

  • Leasing Inquiry Assistants

  • Maintenance Request Coordinators

  • Review Request Systems

  • Appointment Scheduling & Reminder Systems

  • Communication Management Systems

Additional Services

  • Workflow Configuration

  • CRM Configuration

  • AI Communication Assistants

  • Calendar and Scheduling Systems

  • Consulting and Strategy Services

  • Ongoing Support and Optimization

Services may change, evolve, or be discontinued at DoorScale's discretion.


3. Client Responsibilities

Clients agree to:

  • Provide accurate onboarding information.

  • Maintain accurate account information.

  • Provide requested content, documentation, and account access necessary for implementation.

  • Review and approve information used within their systems.

  • Monitor communications generated by AI and automation systems.

  • Maintain active payment methods.

  • Ensure compliance with all applicable laws and regulations related to their business.

Clients remain solely responsible for the operation of their business and for communications sent through their systems.


4. AI Services Disclaimer

DoorScale may implement AI-powered solutions that generate communications, summaries, recommendations, responses, or other outputs.

Clients acknowledge and agree that:

  • AI-generated outputs may contain inaccuracies or errors.

  • AI systems should be monitored regularly.

  • Clients are responsible for reviewing information before relying upon it.

  • DoorScale does not guarantee the accuracy of AI-generated content.

  • DoorScale is not responsible for decisions made based upon AI-generated outputs.

  • DoorScale does not provide legal, financial, tax, medical, compliance, or professional advice.

AI systems may be configured using information, documents, FAQs, workflows, policies, and materials supplied by the Client.


5. Implementation Timeline

DoorScale will make commercially reasonable efforts to begin implementation promptly after:

  • Required payment has been received;

  • Required onboarding information has been submitted;

  • Necessary account access has been provided.

Implementation timelines vary depending on project complexity and may be delayed due to:

  • Incomplete onboarding;

  • Missing information;

  • Third-party provider delays;

  • Technical limitations;

  • Client response delays;

  • Circumstances beyond DoorScale's control.

DoorScale does not guarantee a specific implementation timeline.


6. Billing and Payment

Setup Fees

Implementation fees are billed in advance and are non-refundable once work begins.

Monthly Service Fees

Monthly service fees are billed in advance and automatically renew until canceled.

Clients authorize DoorScale to charge the payment method on file for recurring service fees.

Failure to maintain a valid payment method may result in suspension or termination of services.


7. Usage-Based Charges and Third-Party Fees

Certain DoorScale services rely on third-party providers and may incur usage-based charges separate from DoorScale's monthly service fees.

Examples may include:

  • Phone usage

  • Calling minutes

  • SMS messaging

  • Email delivery

  • AI processing

  • AI voice conversations

  • AI language model usage

  • Call recording

  • Third-party integrations

  • API usage

Usage charges are based on actual consumption and may fluctuate from month to month.

DoorScale may bill Clients for applicable usage fees incurred through their account. Usage fees are determined by the rates charged by underlying service providers and are subject to change without notice.

Clients agree to pay all applicable usage fees associated with their account.

DoorScale may provide estimated usage ranges for planning purposes; however, actual costs may vary based on usage volume and business activity.


8. No Refund Policy

All payments are non-refundable once work begins.

This includes, but is not limited to:

  • Setup fees

  • Monthly service fees

  • Usage fees

  • Consulting fees

  • Implementation fees

DoorScale does not provide refunds for:

  • Partial usage

  • Unused services

  • Client cancellation

  • Failure to use services

  • Changes in business circumstances


9. Account Suspension and Termination

Failed Payments

DoorScale may suspend services immediately upon failed or overdue payments.

During suspension:

  • Access may be restricted;

  • Automations may stop functioning;

  • AI systems may be disabled;

  • Communication systems may be interrupted.

Non-Payment

Accounts that remain unpaid for thirty (30) days may be terminated.

Upon termination:

  • Access may be revoked;

  • Services may be disconnected;

  • Data may be removed;

  • Phone numbers may be released;

  • AI systems may be deleted.

DoorScale is not responsible for recovering data following account termination.

Clients wishing to resume services after termination may be required to pay new implementation fees.


10. Ownership and Intellectual Property

Client Ownership

Clients retain ownership of:

  • Customer data

  • Contact records

  • Uploaded content

  • Logos

  • Branding materials

  • Business information

  • Marketing materials supplied by the Client

DoorScale Ownership

DoorScale retains ownership of:

  • Proprietary workflows

  • Templates

  • Snapshots

  • Automation frameworks

  • AI configurations

  • Prompt libraries

  • Internal processes

  • Documentation

  • Methodologies

  • Training materials

DoorScale may install proprietary systems within a Client account as part of implementation.

No ownership rights to DoorScale intellectual property are transferred to the Client.


11. No Performance Guarantees

DoorScale provides operational systems intended to improve communication, lead handling, follow-up consistency, appointment scheduling, review generation, and organizational efficiency.

DoorScale does not guarantee:

  • Leads

  • Listings

  • Sales

  • Revenue

  • Profitability

  • Conversion rates

  • Appointments

  • Occupancy rates

  • Reviews

  • Search rankings

  • Website traffic

  • Business growth

Results depend on factors beyond DoorScale's control, including market conditions, sales ability, response times, advertising efforts, pricing strategies, competition, and business operations.

Any examples, projections, case studies, or estimates are provided for informational purposes only.


12. Third-Party Services

DoorScale may utilize third-party providers and platforms, including but not limited to:

  • GoHighLevel

  • Twilio

  • OpenAI

  • Stripe

  • Google

  • Meta

  • Microsoft

  • Email providers

  • Hosting providers

  • Telephony providers

DoorScale is not responsible for:

  • Service outages

  • Pricing changes

  • Policy changes

  • API limitations

  • Provider disruptions

  • Data loss caused by third-party providers


13. Industry Compliance

Clients are solely responsible for compliance with all applicable laws, regulations, licensing requirements, privacy obligations, advertising regulations, communication regulations, and industry-specific requirements.

For real estate professionals and property managers, this includes compliance with all federal, state, local, fair housing, licensing, recordkeeping, advertising, and consumer protection requirements.

DoorScale does not provide legal, brokerage, compliance, or regulatory supervision. Clients should consult qualified professionals regarding compliance obligations.


14. Communication & Automation Disclaimer

DoorScale provides systems intended to improve response times, communication management, follow-up consistency, appointment scheduling, and operational organization.

Clients acknowledge that:

  • Automated communications may not reach every recipient.

  • Recipients may block, ignore, unsubscribe from, or fail to respond to communications.

  • Email, SMS, voice, and AI communications depend on third-party providers.

  • AI-generated responses may contain inaccuracies or misunderstandings.

  • Clients remain responsible for monitoring and reviewing communications generated through their systems.

DoorScale is not responsible for missed opportunities, lost business, scheduling conflicts, inaccurate AI responses, or decisions made based upon automated communications.


15. Limitation of Liability

To the maximum extent permitted by law, DoorScale LLC shall not be liable for any indirect, incidental, consequential, special, punitive, or exemplary damages arising from the use of its services.

DoorScale's total liability under these Terms shall not exceed the total amount paid by the Client to DoorScale during the twelve (12) months preceding the event giving rise to the claim.


16. Indemnification

Client agrees to defend, indemnify, and hold harmless DoorScale LLC, its owners, employees, contractors, affiliates, and agents from and against any claims, damages, liabilities, losses, costs, expenses, or legal fees arising from:

  • Client business operations;

  • Client use of the services;

  • Violations of law;

  • Communications sent through the systems;

  • Content supplied by the Client;

  • Regulatory violations;

  • Customer disputes.


17. Modifications to Services and Terms

DoorScale reserves the right to modify, suspend, discontinue, or update services and these Terms at any time.

Updated Terms will be posted on our website.

Continued use of services after updates constitutes acceptance of the revised Terms.


18. Governing Law

These Terms shall be governed by and construed under the laws of the State of Florida without regard to conflict of law principles.

Any legal action arising from these Terms shall be brought exclusively in the courts located within the State of Florida.
